AN IMPORTANT DISTINCTION

What Does “Complimentary Cabin” Actually Mean?

A complimentary cabin does not necessarily mean that absolutely every dollar associated with the vacation disappears.

In many cruise-group arrangements, the complimentary benefit is based primarily on the commissionable cruise fare.

Government taxes, port charges, gratuities, transportation, insurance, optional dining, upgraded internet, shore excursions and other personal purchases may remain the traveler’s responsibility.

Think of It as Cruise-Fare Value

The important question is not simply, “Is the cabin free?”

The better question is, “Exactly what value has the group earned and what expenses does that value cover?”

NOT EVERY DOLLAR OF A CRUISE FARE IS THE SAME

How Is Complimentary Cabin Value Calculated?

Cruise fares contain different components. The portion used to calculate a complimentary cabin may be different from the total amount shown on the guest’s invoice.

01

Eligible Cruise Fare

Complimentary value is often linked to qualifying cruise fare rather than every tax, fee and add-on.

02

Cabin Category

The value can depend on the cabin category or fare level used under the particular group arrangement.

03

Qualifying Travelers

Only reservations that satisfy the applicable group requirements may count toward the benefit.

04

Final Sailing Count

The number of people who actually complete the qualifying reservation and sail can affect the final earned value.

COMPLIMENTARY CABINS CAN BE VERY FLEXIBLE

What Can a Group Do With Complimentary Cabins?

The value does not necessarily have to be used only for the group leader’s personal vacation.

01

Use Them

The organizer or host can potentially use earned cabin value toward their own accommodations.

02

Gift Them

A cabin can potentially be given to a family member, team member, special guest, volunteer or someone important to the organization.

03

Raffle Them

Where legally permitted, complimentary cabin value may potentially be used as an exciting promotional or fundraising prize.

04

Auction Them

A nonprofit or organization may potentially use earned value as part of a fundraising auction, subject to applicable laws and cruise terms.

10–30 CABINS

Even a Smaller Group Can Earn Complimentary Value

A group does not have to fill half the ship before complimentary cabin value becomes meaningful.

Under the America’s Best Cruises benefit structure, a group of approximately 10–30 cabins can earn approximately 1–2 complimentary cabins.

That can be especially useful for a family reunion, club trip, creator’s first community cruise or smaller organization testing the concept for the first time.

EXAMPLE 25 Cabins
Approximately 1–2 Free Cabins

Final value depends on qualifying reservations and the cruise agreement.

Larger community group enjoying time together

51–75 CABINS

A Growing Group Creates More Value

Once a group grows into the 51–75 cabin range, the complimentary cabin benefit becomes substantially more valuable.

Under the current America’s Best Cruises structure, this level may receive approximately 3–5 complimentary cabins.

This tier also includes a $25-per-cabin marketing credit, creating another source of value for the group organizer or organization.

EXAMPLE 60 Cabins
Approximately 3–5 Free Cabins

Plus approximately $1,500 in marketing credit at $25 per cabin.

76–150 CABINS

Large Groups Can Create Significant Complimentary Value

A community filling dozens or even more than one hundred cabins represents meaningful business for a cruise line.

GROUP SIZE 76–150 cabins
COMPLIMENTARY BENEFIT 5–11 free cabins
MARKETING CREDIT $50 per cabin

At 100 cabins, for example, the marketing credit alone would equal approximately $5,000 under this structure, in addition to the applicable complimentary cabin value.

151–199 CABINS

A Very Large Group Can Earn 11–17 Complimentary Cabins

At this level, a community is no longer bringing a handful of reservations to the cruise line. It is creating a major hosted event.

Under the current America’s Best Cruises benefit structure, a group of 151–199 cabins may receive approximately 11–17 complimentary cabins.

The same tier also carries a $75-per-cabin marketing credit, which can represent more than $10,000 in additional value.

175-CABIN EXAMPLE 11–17 Complimentary Cabins PLUS
$13,125

Approximate marketing credit at $75 per cabin.

ANOTHER COMMON QUESTION

Who Receives the Complimentary Cabin?

The answer depends on how the group is structured and what the organizer decides to do with the earned value.

01

The Group Leader

A leader who has spent months building and promoting the group may use the complimentary value toward their own accommodations.

02

A Guest or Team Member

A creator, organization or club may decide that someone else should receive the benefit.

03

The Organization

A nonprofit, charity or service club may use complimentary value in a way that supports the organization or its fundraising objectives.

04

The Community

The benefit may potentially be used for a giveaway, recognition program or other community purpose, subject to applicable rules.

CABINS AND PASSENGERS ARE NOT THE SAME THING

Does One Complimentary Cabin Mean One Free Person?

Not necessarily.

Group benefits are often described in terms of cabins or berth value but the precise calculation depends on the cruise agreement.

A cabin can normally accommodate more than one traveler but the complimentary value may be based on eligible cruise fare rather than every expense for every passenger occupying that cabin.

That is why we explain the specific dollar value and qualifying rules rather than simply promising a completely free vacation.

KEEP THESE TERMS SEPARATE

Cabin The physical stateroom reserved for the travelers.
Berth A passenger position within the cabin.
Complimentary Value The eligible cruise-fare benefit earned under the group agreement.
Taxes & Other Charges Expenses that may remain payable even when complimentary cruise-fare value is earned.

RESERVATIONS MUST QUALIFY

When Does a Group Actually Earn the Complimentary Cabins?

Interest in the cruise is not the same as a completed qualifying reservation.

1

The Group Is Created

America’s Best Cruises establishes the appropriate group structure and identifies the available benefits.

2

Travelers Reserve Cabins

Guests make qualifying reservations within the applicable group structure.

3

Reservations Remain Active

Required deposits, passenger information and final payments must be completed according to the cruise-line deadlines.

4

Final Benefits Are Calculated

The final qualifying cabin or passenger count determines the complimentary benefit actually earned.

DEFINE THE BENEFITS BEFORE PROMOTION BEGINS

Why Should the Organizer Understand This Before Launching the Cruise?

A group leader should know from the beginning how the benefit works, what must happen to earn it and what the complimentary value can be used for.

This is especially important when the group is being organized by a creator, nonprofit, charity or club because expectations should be transparent.

  • Know the qualifying cabin threshold
  • Know what counts toward the benefit
  • Know what the free cabin actually covers
  • Know when the benefit is finalized
  • Know how the organization intends to use it
  • Know whether additional marketing compensation applies
